TopLeft App Updates - August 2023

Here's what we improved in the TopLeft app in August.

Improvements

  • Improved time entry, saving your unfinished notes and improving how date inputs are managed.
  • Streamlined repetitive tasks with a few buttons that reduce your clicks.
  • Added a Gantt view showing tasks from multiple projects.

ConnectWise

  • Added an option to hide the buttons at the bottom of tickets. This is an option in your account settings- to change it, click your name in the main menu, then click Account to see your preferences.
  • Added account manager to project board filters.
  • Improved how cards are updated after making changes to a ticket in the new editor. Now when you make a change, the tickets disappear from the column immediately if you changed the ticket in such a way as to move it to a different column.
  • Improved how we sync data from the ConnectWise API, working around a problem related to timezone formatting.

Bugfixes

  • Fixed an issue causing boards to be listed in the main menu even when they were not accessible to the user.
  • Fixed an issue in the ConnectWise project ticket creation form where a validation problem could not be corrected.

Gantt View for Multiple Projects

Now you can manage and review multiple projects in a single Gantt chart.

This view shows a timeline of multiple projects with each project's tasks, giving you a very detailed view of what obligations are coming up for your team. You can use this to ensure your team isn't planning to work on too many project tasks at once.

The timing of projects and tasks can be changed by dragging the task bars left or right, and their duration can be changed by dragging either the left or right sides.

To open this view, go to a ticket/task board with Project swimlanes and click this button in the main menu:

As with the other Gantt chart views, this is available to users with a Premium license.

Streamlining Repetitive Tasks in TopLeft

You might be doing repetitive tasks in TopLeft. For example:

  • If you're a dispatcher, you need to dispatch many tickets at once. You assign or schedule a technician, then change the ticket status to Ready, then close the editor.
  • If you're a technician, you need to enter time or a note on many tickets throughout the day, then change the ticket status to Completed, then close the editor.

To make these tasks easier, we've introduced buttons that perform your main action (assigning or scheduling a technician, or entering time), change the ticket's status, and close the editor- all in a single click.

In the example above, the dispatch form has already been completed. Clicking Scheduled will dispatch the technician, change the ticket's status to Scheduled, and close the editor. Or instead of clicking Scheduled, clicking the arrow will show all the other statuses, and clicking one will perform all the actions and set the ticket to that status- and save the status selection so it's the default choice next time.

This applies to ConnectWise customers only for now. This feature will be available for Autotask customers when we launch the new editor (soon!).

Making Time Entry a Little Bit Nicer

We know nobody loves making time entries in their PSA, so at TopLeft we've tried to make the experience a little nicer than doing it in your PSA. Now we've made it a little bit better yet, with these two improvements:

  1. Saving your unfinished time entries. If you make part of a time entry but need to leave it to view a different ticket, you can just close the dialog. Your time entry will be saved- the text notes, start and stop time, and other details. Just return to the ticket when you're ready to finish the time entry, and your work will be restored.
  2. If you don't submit your time on the same day as the work (we know you and your team would never do this, but other teams do 😁 ), so you need to make a few entries for a prior day, the date field defaults to the day you submitted in the most recent time entry you made that day. (This is being released today, so don't worry if you haven't seen this behavior yet.)

We hope this makes time entry just a little bit nicer!

TopLeft App Updates - July 2023

Here's what we improved in the TopLeft app in July.

Improvements

  • We introduced our biggest UI change ever, a single place to edit tickets instead of having multiple places for each kind of change! This is available for ConnectWise users now and will be launched for Autotask users in August. We also added new ways to open the editor, including keyboard shortcuts to open the various tabs of the editor or to open the ticket's page in ConnectWise.

ConnectWise

  • Tickets can be highlighted based on due dates using style profiles. There are new conditions for "having no due date" and for "is within the due date warning threshold in the card's column".
  • When customizing colors using style profiles, colors are selected using a preview widget instead of entering HTML codes directly.

Bugfixes

  • Fixed an issue on ConnectWise project boards where the account manager filtering didn't work quite right.
  • Fixed an issue on Autotask ticket and task boards related to filtering on assigned technician when showing unassigned work.

New Ways to Open the New Editor

We've added not one, not two, but three new ways to open the new ticket editor.

The new editor has a tabbed interface with these options:

Now you can open the editor directly to the tab you want in any of these ways:

  1. Buttons on cards
  2. Menu items
  3. Keyboard shortcuts

The new buttons on cards are pretty obvious:

Each button opens one of the tabs. The CW button opens the ticket in ConnectWise.

The new menu items are likewise pretty obvious:

It's the keyboard shortcuts that will really make your life easier, though.

Just hover your mouse cursor over a card and press the appropriate key for the tab you want:

  • Ticket tab, press e
  • Time and Notes tab, press t
  • Dispatch tab, press d
  • Files tab, press f

Or to open ConnectWise to the ticket, press c.

These keyboard shortcuts should make your job a little bit easier many times every day.

If you forget the shortcuts, just hover over the buttons in the button bar to see the tooltips. Or choose Help > Keyboard Shortcuts from the main menu.

Edit ConnectWise Tickets In a Single Place

As a TopLeft user, you're probably very familiar with this menu:

This is how you've always edited various things about tickets. But it wasn't the best experience. If you wanted to edit the ticket budget hours and enter a new time entry, you needed to do part of the job in one place and part of the job in a completely different place. Or if you wanted to refer to existing notes while you wrote a new note... well, you couldn't.

But now you can. We have updated TopLeft for ConnectWise so that all the changes you can make to a ticket are available in a single place.

Just click anywhere on a ticket to open the editing pane.

This is launching today for ConnectWise tickets. We will be offering it for Autotask tickets in the next couple of weeks, and for other types of records after that. Let us know what you think!

IP whitelist change

On-prem ConnectWise customers with firewalls, update your whitelist

We have refreshed our infrastructure, so if you have an on-premise ConnectWise Manage server behind a source-filtering firewall, please update your whitelist. This applies to all regions. The new list of IPs is available in the knowledgebase.

TopLeft App Updates - June 2023

Here's what we improved in the TopLeft app in June.

Improvements

  • Project timelines are available for users with Premium licenses. This shows all your projects on a timeline, like a Gantt chart, and makes it easy to see when projects are planned to start and end, and to change those dates with drag-and-drop.
  • Project notes can be shown.
  • In Gantt charts for both tickets and projects, there are progress indicators and budget warnings.
  • Our recommendations for what Kanban boards to create are available in the app and knowledgebase.
  • Our engineering team gets better notifications of errors seen by users, so we can respond more quickly and make the service more reliable.

ConnectWise

  • Project boards can be organized with swimlanes for each account manager and filtered to show just a single account manager's projects. This makes it easy for account managers to see all the projects for their own accounts.

Bugfixes

  • Fixed an issue causing the board to scroll when it refreshes automatically.

In Gantt Charts, Progress Indicators and Budget Warnings

Now in TopLeft Gantt charts, task bars indicate the progress of the work. This helps project managers understand their projects and react quickly to problems.

The colouring of the bar indicates the progress:

The dark part of the bar indicates how many hours have been logged relative to the work's budget. For example, this would indicate about 80% of the budget had been used:

When work exceeds the budget, it is shown in red:

This applies to both tickets, tasks, and projects. If a ticket, task, or project has no budget, no coloring is applied.
